Welcome to XF Gym. These terms and conditions (the “Terms”) govern your membership and use of our facilities. By joining and using our Club, you agree to comply with these terms. Please read them carefully.
By completing the sign-up process, you understand that it constitutes your acceptance of these Terms. If you do not agree to the Terms, do not complete the sign-up process.
Use of the Club constitutes your continued acceptance of these Terms.

If you lose your Access Device, our Crew must be contacted immediately. A new access device can be purchased for a fee of £15, subject to change.
Your Access Device and Access Information are to be used solely by you. It is your responsibility to keep them confidential and ensure they are used only by you. XF Gym monitors the use of Access Devices and Access Information. Suspected abuse or misuse may result in requiring valid proof of identification for entry indefinitely until the breach is resolved. You may be held liable for any losses caused by unauthorized access using your Access Device and/or Access Information.
Under 16s are not permitted to join or use any XF Gym Club.
No animals are allowed in the gym, except guide dogs.
We reserve the right to amend these terms and conditions at any time. In the event of changes, we will notify you via email. Changes will be deemed accepted by entry into the Club.
You can terminate this Contract at any time via the Membership Centre, by cancelling the Direct Debit, or by emailing the Crew at your Club. Allow up to 10 working days for the bank to action this. You will remain a Member until the day before the next payment is due.
If you breach our Terms and Conditions or fail to meet the standards expected of our members, we will notify you via email that your membership is being cancelled with immediate effect. No refunds will be given.
Once you have completed the sign-up and become a Member, you have the right to cancel this Contract within 14 days. You can do this by emailing us with a clear statement of your intent to cancel before the end of the 14th day. If you cancel before the end of the 14th day without using the Club and collecting your Starter Pack, we will refund your Joining Fee and Monthly Fee. If you have collected your Starter Pack, we will refund £10 of your Joining Fee. If you have used the Club, we will refund the Monthly Fee minus the amount used.
CCTV is in use throughout the gym.
Arrive on time. Once the class starts, the instructor has the right to refuse entry.
You must always wear appropriate attire and footwear. Shirtless training is prohibited.
You are expected to behave respectfully towards other members and staff. Harassment, abuse, or disruptive behaviour will not be tolerated and may result in termination of your membership without refund.
Our Crew is trained in Club best practices. Instructions from Crew Members must be followed. Failure to do so may result in suspension or termination of your membership. Abuse of our Crew will not be tolerated.
Use the equipment as intended and follow all posted instructions. Report any damaged or malfunctioning equipment to staff immediately.
You agree to only sign up if you are in good health and capable of participating in physical activities. Consult your doctor if you have any medical conditions before using the gym. You will be required to confirm this via a health declaration prior to using our Club.
The use and possession of illegal substances and/or training aids are strictly prohibited in any XF Gym Club.
Report any injuries or accidents to staff immediately. We are not liable for injuries sustained while using our facilities, except where caused by our negligence.
You agree to put equipment back in the correct storage location after use.
You are obliged to immediately inform XF Gym of any changes to contract-relevant data (name, address, email address, bank details, etc.).
You will be unable to enter the Club if your fee for the upcoming month has not been paid. Ensure that there are sufficient funds in your account prior to your Direct Debit date. If your Direct Debit has not been collected within 30 days, your membership will be cancelled, and you will be required to sign up at the current price. We have the right to charge late payment costs, including legal action costs.
Lockers are provided on a first-come, first-served basis. Lockers can only be used while you are In-Club. XF Gym has the right to open and empty any lockers that remain locked beyond your being In-Club. Items removed will be held for a maximum of 14 days before being disposed of. XF Gym is not responsible for any belongings left in lockers.
The Massage Beds are in the Massage Room, open daily from 7 am – 10 pm. We thank you for:
Only use the Massage Beds if you fully understand and agree with the “Massage Bed Rules & Guide” located on the wall before entering the Massage Bed room. You understand that your use of the Massage Bed is deemed an act of acceptance.
If you are in a Simple Membership Contract, you are entitled to use the Gym Floor. Wellness Features or Classes are available at a cost per use. You can upgrade your membership up to 1 day prior to your next Direct Debit.
If you are in a Premium Membership Contract, you are entitled to use the Gym Floor, join classes (excluding Yoga Room classes) bookable 5 days prior, and use 1 Wellness Feature per day. Additional uses of Wellness Facilities and Yoga Room classes are available at a cost per use. You can downgrade or upgrade your membership up to 1 day prior to your next Direct Debit.
If you are in an Ultimate Membership Contract, you are entitled to use the Gym Floor, join classes (including Yoga Room classes) bookable 10 days prior, and use all Wellness Features as often as desired each day (excluding the Tanning Beds which can only be used once per day). You can downgrade your membership up to 1 day prior to your next Direct Debit.
XF Gym will do its best to maintain Club opening periods of 6 am–10 pm (Mon-Sat) and 7 am-4 pm (Sun). Any advertised opening times that differ from these times will be on a Club-by-Club basis and at our discretion.
XF Gym provides parking spaces at selected Clubs. These may only be used by you while in the Club and in accordance with any other terms of use set by the Club. If you occupy a parking space outside your being In-Club or violate any other Terms of Use, we reserve the right to tow the car at your expense and/or impose contractual penalties.
We are not responsible for lost or stolen items. Please use lockers and keep your belongings secure.
You agree to enter the gym in a good state of personal hygiene, use a towel when necessary, and wipe down all equipment after use.
Do not photograph any other member without their express permission.
If you tag or link your picture to XF Gym and/or any XF Gym Club, you agree that we can share the content should we wish.
XF Gym can make changes to your monthly membership fee once per calendar year. This will only occur due to changes in market conditions and/or changes in our cost base. We will notify you of any changes at least 1 month prior to taking effect to give you the necessary time to cancel your membership should you wish to do so.
When you enter the Club, contact us, or interact with XF Gym in any way, we may gather information about you. The details can be found in our Privacy Policy here. You agree that your Direct Debit payment and collection, and the personal information associated, may be processed by Harlands Services Ltd. We do not sell your information to any third party. We may use some information with third parties to create the best experience possible; however, this is on a need-to-know basis only. See “CCTV” for information on our use of CCTV in our Clubs.
The Rules are clearly displayed prior to entering the Club. If you cannot find them, please ask the Crew to show you them, as your entry into the Club is deemed an act of acceptance. The Crew will respond to any Rules broken by suspending and/or terminating your membership. No refunds will be given.
XF Gym Clubs are a non-smoking environment.
The Sauna and Steam Room are in the Sauna / Steam Room. The Sauna / Steam Room is open daily from 7 am – 10 pm. We thank you for:

You understand that your entry of the Sauna / Steam Room is deemed an act of acceptance.
Access is only permitted if you are over 18. Tanning Beds are located within the Tanning Rooms. Tanning Rooms are open daily from 7 am – 10 pm. We thank you for:
Only use the Tanning Bed if you fully understand and agree with the “Tanning Bed Rules & Guide” located on the inside walls of the Tanning Room and understand the risks associated with their use. You understand that use of the Tanning Bed is deemed an act of acceptance.
The formatting of this Contract is an attempt to improve the ease of legibility and nothing else. This Contract will be between you and us. No other person or persons have any right to enforce it. We may assign or otherwise transfer the benefit or burden of this Contract without your prior written consent. You agree that you cannot transfer this Contract to anyone else. The Terms of this Contract are governed by English law, and you can bring legal proceedings in respect of any disputes arising out of or in connection with your Membership in the English courts.
